Atlanta commercial holiday lighting timeline for property managers

Commercial properties in metro Atlanta that want holiday lights switched on by November 1 should have their October installation scheduled by late August. Custom feature pieces need a longer runway, with approvals wrapped up by April so production can finish on schedule. This guide is for property managers, facilities teams, and business owners planning a seasonal display. It works backward from your switch-on date to show where the weeks go.

Most of that lead time goes to steps inside your own organization. Budget approval, vendor onboarding, insurance certificates, and multiple sign-offs often take more weeks than design and installation combined.

I'm Bill Frey, President of Illuminating Design. We've designed and installed commercial lighting across metro Atlanta since 2004, covering retail shopping centers, car dealerships, hospitality properties, and resorts and hotels.

Below is the sequence a commercial project moves through, what tends to hold it up, and the one decision that removes the booking race for good.

Your Approval Chain Sets the Install Date

Four steps stand between a commercial property and a booked install, and none of them involve lighting:

  • Budget approval. Seasonal display spend usually sits inside a marketing or facilities budget approved months earlier. A project scoped in October may be competing for money allocated in the prior fiscal year.
  • Purchase orders and vendor onboarding. Adding new vendors to a supplier system, collecting insurance certificates, and agreeing on payment terms can take several weeks on a managed portfolio.

  • Multiple approvers. A property manager, asset manager, tenant committee, and ownership group may all need to review the design. Every reviewer adds calendar time.
  • Tenant and operations coordination. Retail centers can't have lifts in a parking field during peak business hours. Hotels have events. Dealerships have inventory in the way. Window installations must be negotiated around operating hours.

The Commercial Booking Sequence

Earlier planning gives you more choices for both design and installation dates. Our commercial schedule fills quickly, so we like to have October installs confirmed by late August. That lead time lets us staff and train our crews and finish the behind-the-scenes work that helps your property shine.

Site Visit and Design

We schedule commercial site visits and design work from January through August. A walkthrough settles what a phone call can't: which mounting surfaces the building offers, where power is accessible, and which areas justify the budget. Entrances, facades, canopy trees, drive approaches, and shared spaces all compete for the same capital.

Design follows directly from that walkthrough. A rendering gives your approval committee a concrete visual to react to, turning a vague idea into a firm decision. Reviewing our project portfolio is often the fastest way to demonstrate what is possible for a comparable property.

Quote, Approval, and Paperwork

This stage routinely runs long, and the delays usually come from paperwork. Purchase orders, insurance certificates, vendor forms, and sign-offs move at the speed of the administrative teams handling them.

Custom and large feature pieces need their approval and paperwork finished in May, since those pieces take time to produce. Standard items follow in August, with quote approval and paperwork completed by the late-August/early September scheduling deadline.

Building administrative buffer time into your timeline is the single most effective step a property manager can take. A design that's approved in principle and stuck in procurement is still an unbooked installation.

Install Window

We install commercial displays from October through mid-November, which gives property managers the strongest choice of dates. October installs stay switched off until November 1, and greenery goes up in November.

Installations are scheduled around your operating hours and your primary holiday event, which is the firm deadline dictating the timeline. Retail properties frequently require lighting to be operational ahead of tree lightings or tenant promotions, while hotels need displays active ahead of seasonal guest arrivals.

Always build in a contingency day. A single rain day on an unforgiving one-day schedule can push your switch-on past the event it was meant to illuminate.

In-Season Support and Removal

Outages, storm damage, and electrical issues require guaranteed response times established in the original scope. A display that goes dark in mid-December without a dedicated callout plan becomes an operational liability nobody owns. Our maintenance plans define these response guarantees explicitly.

We aim to have commercial installations removed by January 15. Properties with lights-only displays sometimes prefer to keep them up longer, and we are happy to accommodate that.

What Slows a Commercial Project Down

Five common issues account for most delays, and all of them are avoidable with proper lead time:

  • Undefined scope. Quotes can't be firm until specific display areas are finalized. Vague scope leads to fluid pricing and prolonged approvals.
  • Access and after-hours restrictions. Gated entries, security badges, escorts, and no-lift operational hours require advance coordination with authorized personnel.
  • Insurance and vendor documentation. Certificates naming the precise legal entity usually take longer than you'd expect.
  • Divided decision-making. Without a single internal project owner, reviews stall between departments.
  • Lack of weather buffer. A tight outdoor schedule with no backup day leaves you no margin when the weather turns.

Permanent Trim Lighting Removes the Booking Race Entirely

An annual scheduling scramble is one option. The other is eliminating the cycle altogether, and it's worth asking which your property needs.

Permanent trim lighting is architectural lighting installed once, discreetly mounted beneath eaves and parapets, and left in place year-round. It stays subtle by day, illuminates as a holiday display in December, and serves as architectural accent or brand lighting the rest of the year.

For commercial properties, the key advantage is scheduling independence: there are no seasonal installation dates to compete for, no annual crew coordination, no takedown process, and no off-site storage.

This shifts the conversation from a rushing booking deadline to a single, manageable capital project aligned with your budget cycle. Our permanent trim lighting guide covers how the systems work, and the cost guide sets out what to budget.

What to Have Ready for Your Initial Consultation

Bring these to your first consultation, and you'll shorten everything that follows:

  • Property address and specific areas designated for lighting
  • Target operational date and any driving events
  • Property type alongside tenant or trading-hour constraints
  • Access protocols (gates, badges, escort requirements)
  • Internal approval hierarchy and primary project owner
  • Insurance and vendor onboarding documentation requirements
  • Takedown and storage scope preferences

Frequently Asked Questions

How Far Ahead Should a Commercial Property Book Holiday Lighting?

Start in the spring if you want custom pieces, since they take time to produce. Otherwise, contact us by summer to secure a prime installation date. For an October installation with a November 1 switch-on, we like to have commercial clients scheduled by late August. Properties that already have us set up as a vendor move faster than those starting procurement from scratch, so your internal approval process also affects how early you should start.

What Happens If We Miss the Primary Booking Window?

Later bookings are often workable. We can design and install simple layouts within a few days to a week, depending on product availability and open slots on our schedule. The trade-offs are installation dates closer to your preferred target (or past it) and a shorter design phase with less time for fine-tuning.

Do You Handle Takedown and Storage?

Yes, and both should be finalized at booking so the timeline, scope, and pricing reflect the full season. While we do not store at our physical location, we can assist with storage for your owned products.  We aim to have commercial displays removed by January 15, and lights-only displays can stay up longer on request.

Can Lighting Be Installed Around Trading Hours?

Yes. Commercial installations are routinely scheduled during early mornings, overnight, or on off-peak weekdays to keep lifts and crews away from patrons and vehicle traffic.

What Is the Difference Between Seasonal and Permanent Trim Lighting?

Seasonal holiday lighting is installed each autumn and removed each January. Permanent trim lighting is installed once to deliver seasonal displays in December and architectural accent lighting year-round. Seasonal suits properties that want traditional annual variation. Permanent trim suits managers who'd rather stop running the scheduling cycle every autumn. Our guide to permanent trim maintenance covers the upkeep it does need.

Do You Work With Multi-Property Portfolios?

Yes. Consolidating multiple sites under a single scope maintains design consistency across the industries we serve while unifying approvals, scheduling, and billing into a single streamlined workflow.
